Crystal Software Installation

Crystal Reports Professional version 8.5

NOTE: See Application Support and Crystal Reports Professional version 7.0 below.

Crystal Reports Professional 8.5 software is the current software version available to users via the Minnesota Management & Budget FTP server.

License

A license is required for Crystal Reports Professional 8.5.
A license is NOT required for Crystal Reports Runtime.

Installation

Crystal Reports Professional 8.5 (and Crystal Reports Runtime software, if needed) should be installed on all IA Power Users’ workstations.

Compiled Reports

Compiled Reports users will not need any upgrades. Using the current Crystal Runtime they will be able to view reports compiled with Crystal 8.5 Professional.

Contact your agency technical support staff for installation. Agency technical support staff have been sent instructions for registering the number of license and obtaining Crystal 8.5 and runtime software.
If you have additional questions concerning this installation package, please call the Help Line at 651-201-8100.

Questions regarding Crystal 8.5 or runtime installation should be directed to the Technical Services Unit by selecting option 5.

Questions regarding Crystal reports conversion or other questions relating to Crystal 8.5 should be directed to Information Access by selecting option 4.

This installation software will install the Crystal Reports Professional version 8.5 (CRW85) application. This report writing application is used in conjunction with the IA Data Warehouse Oracle ODBC drivers to access the Information Access Data Warehouse. It is a 32-bit application and will only run on 32-bit operating systems (specifically Windows 95/98, NT, Windows 2000, or Windows XP.).

Warning: This version of Crystal Reports cannot be run on the same machine with older 32-bit versions of Crystal Reports or Crystal Info as it will cause them to function improperly.

Note: This installation software includes web report distribution software. This piece of the software is not supported by the Dept. of Finance at this time.

This information as well as the software is for State of Minnesota agency use only. Therefore, no login Ids, passwords or licensing information will be found in this document as it is posted on a public web site. 1. Prerequisites

Information Access Data Warehouse Power Users and Compiled Report users need the IA Data Warehouse Oracle drivers installed in order to connect to the Information Access Data Warehouse. The file O8odbc32.exe installs the necessary files and can be found at the Minnesota Management & Budget 's IA ftp site. For complete installation instructions, please refer to the document: IA Warehouse Oracle software installation instructions, located on the Mn-ASSIST Technical Services web page.

2. Downloading the Installation File

The use of the CRW software is exclusive to users of the IA Data Warehouse. Minnesota Management & Budget must track all users of the software because of the limited number of licenses available. Please follow the instructions listed below to add the number of licenses required by your agency.

Instructions:

A. Obtain Application Software.

1. Fill out the Crystal 8.5 License Request Form

2. You will receive e-mail with information on how to ftp the CRW85 installation software from the Minnesota Management & Budget's ftp site. If your agency uses a modem or has a LAN with limited band-width, you may request the files to be mailed to you on a cd-rom.

Prepare for the application installation by downloading all the necessary files before you begin the installation. Read this document thoroughly to find out if you need more than one file for complete installation of the application software.

3. Full Local Installation
Use this installation to install the CRW85 software as a stand-alone application on the user's local drive.

Make sure any other programs (such as anti-virus software, MS Office button bar, etc.) are not running before beginning the installation. Failure to do this may result in files not being properly updated.
All earlier stand-alone versions of Crystal should be uninstalled before installing Crystal 8.5. Failure to do this will not cause any noticeable problems with Crystal 8.5, but it will make removal of the previous version much more difficult later.
Double-click on the cr85_ful.exe file to begin the software installation.
If the workstation already has Crystal Reports installed, you may get a Seagate Crystal Reports Setup panel with the message "A previous installation of Crystal Reports has been found in …". You should click on the Exit button and then remove the current version of Crystal. Use the Add/Remove function in Windows Control Panel.

At the Welcome panel, click on the Next button.

At the Seagate Crystal Reports End User License Agreement panel, click on the Yes button to accept the terms of the license agreement.
At the User Information panel, fill in the Full Name and Organization fields. Click on the Next button to continue. Note: The registration number and the keycode are found in the c85_read.doc file located on the ftp site where you download Crystal 8.5.
Note: If Crystal Reports software is already installed on the workstation, you will not see this panel.

Enter a name and organization on the Name and Organization Information panel. Then click on the Next button.
On the Select Installation Type panel, click on the Custom button.

Typical - Installs the most common options. (This is the recommended mode of installation).
Complete - If a previous version of Crystal exists, this is usually the default installation.
Custom - You choose which components to install. You may run this installation at anytime to add components to the user's workstation.
You may change the installation directory by using the Browse button to choose the correct location or by simply typing into the Installation Directory field.

At the Select Features panel, choose the following options:
A. Under Crystal Reports Programs

  • Crystal Report Designer
  • Crystal SQL Designer
  • MS Office Add Ins
  • Help (include the IE and Netscape add ins)

B. Under Data Access

  • Access
  • Active Data Driver
  • Dbase
  • File System
  • MS SQL Server
  • OLE DB
  • OLAP Cube
  • Oracle
  • XML

C. Under Export Support - Install everything

D. Do not install the following:

  • Custom Charting
  • Geographic Mapping
  • Sample Reports
  • Click on the Next button to continue the installation.

Note: When you select a feature, the files will be distributed to the location chosen in Step 6.

At the Start Installation panel, click on the Next button to begin the installation.
The message "The installer must restart your system before configuration of Crystal Reports can continue. Click Yes to restart now or No if you plan to manually restart later." Click on the Yes button to complete the installation.
You may not receive this message on Windows NT/2000/XP workstations.

After rebooting and the install is finished. The message, "Crystal Reports has been successfully installed" appears.
Enter the registration number: Note: The registration number and the keycode are found in the c85_read.doc file located on the ftp site where you download Crystal 8.5.

4. Compiled Report Patch Installation

As is, this version of Crystal software does not support compiled report distribution. As a result, a patch must be applied to all users who intend to use the full version of the software (Power Users).

Follow the instructions to download the SCR8_Dstr_Expert installation file.

1. Obtain Application Software via FTP (File Transfer Protocol):

A. Host Name: ftp.finance.state.mn.us

B. Host Type: Unix (or Auto Detect)

C. User ID: " Please reference e-mail release announcement or call Mn-ASSIST Technical Services helpdesk."

D. Password: " Please reference e-mail release announcement or call Mn-ASSIST Technical Services helpdesk."

E. Download the file SCR8_Dstr_Expert.exe in a BINARY format to a temporary location within your environment (example: C:\TEMP).

2. Double-click on the SCR8_Dstr_Expert.exe file to unzip the files.

3. Go to the temporary location where the files unzipped.

4. Double-click on the file rdwiz.exe to begin the installation.

5. Click on the Finish button when the following message appears "The Report Distribution Expert has been successfully installed."

5. Connectivity Testing

Test connectivity to the Information Access Data Warehouse to verify proper installation of the CRW85 software.

Test with Full Crystal Reports 8.5 Installation:

1. Open Crystal Reports, then go to File/Log On Server.

2. At the Log On Server, highlight the ODBC_IA_Warehouse server. Then click on the OK button to continue.

3.Enter the test login id:(Please call the Mn-ASSIST Technical helpdesk for the login id and password).

The message "You have successfully connected to the IA Data Warehouse" will display or data tables will appear under the IA_Warehouse option if you have correctly logged into the IA Data Warehouse.

6. Troubleshooting

During testing, the most common error message that occurred was one saying that a particular file was in use and cannot be opened. The file name varied depending on the system and test scenario. The solution to the problem is to make sure that no other software is running when the installation is taking place.

Firewall Issues

Accessing the IA Data Warehouse or BIS applications requires that traffic be allowed through firewalls an agency may have in place. If you are implementing a new firewall or making changes to an existing one, please contact the Help Desk Technical Services Group (651-201-8100, option 5) to obtain more information about what settings are needed to ensure the applications will continue to work properly for you.

Crystal Reports Professional Version 7.0 Run-time

Installation Instructions

This installation software will install the Crystal Reports Professional version 7.0 (CRW7) run-time application. It is a 32-bit application and will only run on 32-bit operating systems (specifically Windows 95/98 and Windows NT/2000/XP).

Current date of the document and information is 12/03/2002.

Before You Begin

Note: This following issue only affects SEMA4 users who are also IA Data Warehouse Compiled Report Users.

There is a known issue with installing the SEMA4 Crystal Compiled Reports on a workstation where the IA Data Warehouse run-time Crystal Reports software is already installed. Different versions of the file called p2sodbc.dll are used by each application.

Seagate Crystal Reports Professional, version 7.0 run-time software installs the p2sodbc.dll in the /windows/crystal directory.
SEMA4 software will put the p2sodbc.dll needed to run the Compiled Reports in the /sema4/pt759/s4crw directory.
An error message "SQL Error" appears when clicking on any SEMA4 Crystal report shortcut. This happens because the SEMA4 Compiled Reports will try to use the p2sodbc.dll in the /windows/crystal directory.

During the SEMA4 Workstation Installation, our install will copy the p2sodbc.dll from the /windows/crystal directory to the windows/system (Windows 95 and 98) or winnt/system32 (Windows NT/2000/XP) directory. Doing this will allow Seagate Crystal Reports Professional, version 7.0 run-time software to find the dll when it is needed to run reports.

The installation software will rename the p2sodbc.dll in the /windows/crystal directory to p2sodbc.bak. You may choose to delete the dll from this directory, at your discretion.

As a result of this issue, after any subsequent installation of the Seagate Crystal Reports Professional, version 7 run-time software you will need to run the SEMA4 Workstation setup.

1. Downloading the Installation File

Follow the instructions to download the CRW7 run-time installation file.

Obtain Application Software via FTP:

1. FTP (File Transfer Protocol), FTP to the following Department of Finance FTP site:

A. Host Name: ftp.finance.state.mn.us


B. Host Type: Unix (or Auto Detect)


C. User ID: "Please call Mn-ASSIST Technical Services helpdesk."


D. Password: "Please call Mn-ASSIST Technical Services helpdesk."


E. Download the file cr7_run.exe in a BINARY format to a temporary location within your environment (example: C:\TEMP).

2. Runtime Version Installation

This is a limited software installation of the CRW7 application. This will allow users to run reports already created. No license is required to use this version of the CRW7 application. Note: Crystal Reports Professional Version 8.5 does not offer run-time software.

Make sure any other programs (such as anti-virus software, MS Office button bar, etc.) are not running before beginning the installation. Failure to do this may result in files not being properly updated.
1. Double-click on the cr7_run.exe file to begin the software installation.

If the workstation already has Crystal Reports installed, you may get a Seagate Crystal Reports Setup panel with the message "ODBC DLLS are out-of-date. Setup needs updated version of those files. Would you like the setup to update them now?" Click on the Yes button to continue.

If you click on the No button, Setup will not go further and you will see an error message, "Setup is aborted."

2. At the Welcome panel, click on the Next button.

3. On the Installation Options panel, you may choose the installation mode. Click on the Next button to accept the default Typical installation.

Typical - Installs the most common options. (This is the recommended mode of installation).
Custom - You choose which components to install. You may run this installation at anytime to add components to the user's workstation. The user may find that they need more components then that installed with the Typical installation.
If you do choose the Custom mode, we recommend accepting the default values for installation.

You may change the installation directory by using the Browse button to choose the correct location or by simply typing into the Installation Directory field.

Note: If the workstation already has Crystal Reports installed, you may get an Seagate Crystal Reports Setup message, "A previous installation of Seagate Crystal Reports has been found in C:\Program Files\Seagate Software\Crystal Reports\. The current installation will update the files in this directory. Do you wish to proceed?"

If you get this message, click on the Yes button in order to continue the installation. Use the No button to go back to the Installation Options panel.

4. At the Choose Program Group, click on the Next button to accept the default as Seagate Crystal Reports Distribution.

To change the name of the Program Group, type directly in the Program Group field.

5. The message "Seagate Crystal Reports Distribution Setup is complete." appears. Click on the OK button to continue.
